Locardo Systems Inc.
Effective date: 12 October 2026

This policy explains what personal information Locardo Systems Inc. ("Locardo", "we") collects through locardo.ca and through email, why, and what you can do about it.

What we collect

Contact form. When you use the form on locardo.ca we receive your name, email address and message.

Spam check. The form uses Cloudflare Turnstile to tell people from bots. Turnstile processes signals from your browser, including your IP address, TLS fingerprint and browser user-agent. See Cloudflare's Turnstile privacy notice.

Email. When we exchange email with you, we hold your name, email address, the correspondence and anything attached to it.

Website traffic. For visitors outside the EU, we use Cloudflare Web Analytics, which loads a small script to measure page load times and count visits. Cloudflare states that it does not track individual visitors across its customers' websites. Our hosting provider, Cloudflare, also processes technical information to deliver and secure the site. For some requests, Cloudflare keeps a short-term log that includes your IP address, approximate location (derived from the IP address) and browser details. These logs are deleted after 7 days. They do not contain what you write in the contact form.

The website sets no cookies of its own. We do not track you over time or across other websites, so our site does not respond differently to browser "Do Not Track" signals. Cloudflare, which runs our spam check, also uses Turnstile signals to improve its bot detection across the sites it protects.

Why we use it

We use this information only to:

  • read and reply to your enquiry;
  • keep the contact form free of spam and abuse;
  • keep records of our business correspondence.

We do not sell personal information. We do not send newsletters; if we start, we will ask for your consent first.

Where the EU General Data Protection Regulation applies to your information, our legal basis is our legitimate interest in replying to people who write to us and in protecting the website (GDPR Article 6(1)(f)).

Who else handles it

We use service providers who process information on our behalf:

  • Cloudflare hosts the website, runs the spam check and delivers contact-form messages to our inbox.
  • Google (Google Workspace) hosts our email.

These providers may store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law.

We do not otherwise disclose your information unless the law requires us to.

How long we keep it

We review the enquiries and correspondence we hold once a year. At each review we delete enquiries and correspondence that are more than one year old unless we still need them for an ongoing business relationship with you or for legal reasons. In practice, an enquiry that does not lead any further is deleted between one and two years after we receive it.

If we use your information to make a decision that directly affects you, we keep it for at least one year after the decision, so that you have a reasonable opportunity to see it.

Contact-form messages are not stored on the website itself; they are delivered to our email. Cloudflare's server logs are deleted after 7 days.

Your rights

You can ask to see the personal information we hold about you, and to have it corrected. Depending on where you live, you may also have the right to have it deleted, to restrict or object to how we use it, to receive a copy in a portable format, and to withdraw consent. Write to privacy@locardo.ca. We will respond within the time the law requires.

If you are not satisfied with our response, you can complain to:

  • the Office of the Information and Privacy Commissioner for British Columbia;
  • the Office of the Privacy Commissioner of Canada;
  • if you are in the EU, your local data protection authority;
  • if you are in Ukraine, the Ukrainian Parliament Commissioner for Human Rights.

Giving us your information is voluntary, but we need your name, email address and message to reply to the contact form. We do not make automated decisions about you that have legal or similarly significant effects.

Changes

We will post any changes on this page and update the effective date at the top.
